Promontory Heights Elementary Community School Association (PHECSA) is a non-profit association that utilizes the Promontory Elementary School facilities and is funded through city, provincial, federal and non-profit grants. The Association provides a wide variety of programs to the local community for all ages including recreation / sports programs, cooking classes, science programs, art and craft programs, music lessons, drop in activities for all ages and many special community events. An elected volunteer board oversee operations that are run by a school coordinator, staff and volunteers.

School Coordinator Responsibilities:

Reports to the Board through monthly meetings and ongoing contact.
In charge of all operational activities for the community school including:

  • Manage staff and volunteers' schedule, training, development and security clearances
  • Research and apply for applicable grants for program funding, including seeking out new funding opportunities
  • Coordinate and collaboratively develop activities to be delivered in the school and community area
  • Recruiting and hiring instructors to deliver the programs
  • Promoting programs through local advertisement and publishing a quarterly flyer
  • Marketing and outreach to parents, students and community members
  • Financial duties include payroll, budget management, invoicing and bill payment
  • Manage facility use for programs and facility rentals
  • Manage website administration and office equipment
  • Oversee / assist with delivery of special community events and fundraisers
  • Recruit and develop partnerships with service providers and community resources to address community concerns
  • Develop and maintain community partnerships with other community schools / programs and agencies by attending community meetings and conferences

Necessary skills:

  • Exceptional communication skills with the ability to work with many stakeholders
  • Motivated, creative individual with a strong sense of community
  • 3-5 years experience with staff management
  • Knowledge of non-profit association governance and processes
  • Financial background with experience in budget and payroll procedures
  • Experience with Microsoft Office Suite and email software
  • Degree or diploma in recreation or community development or equivalent combination of education, training, and work experience

Terms of Employment:

  • 35 hours per week or as negotiated with the PHECSA Board
  • Some flexibility for hours of work, and must be able to attend the monthly board meeting after hours
  • Pay range of $23.50 - $29.50 based on applicant's skills and background
  • 3 weeks annual vacation, increased to 4 weeks after 5 years of employment with PHECSA
